General Questions

The registration letter I received in the mail says I need to enter my social security number (SSN). What if I don’t have a SSN?

Please contact your licensure board for assistance.

When I use the public search feature, why can’t I see all of the data related to the search criteria? For example, when I try to find all licenses associated with the Medical Board, I do not see Physicians.

The list of boards and license types that have been migrated to the new system can be found by clicking here.

To see data related to other license types, please visit https://license.ohio.gov.

Should I register as an “Existing Licensee” or as a “New Applicant”?

If you currently hold or have ever held one of the following license types (click here for full list) with the State of Ohio OR if you had a pending application for one of them on file with the board prior to August 22, 2016, you should register as an “Existing Licensee".  You should have received a letter in the mail from your licensure board with directions for how to register.

If you have NEVER held one of the following license types listed (click here for full list) with the State of Ohio, you should register as a “New Applicant".

When I use public search, why can’t I see all the professional licenses I hold?

The only professional license data that was migrated to the new system was for the following boards and corresponding license types, which can be found by clicking here.

Online renewals and service requests will also be required moving forward.

When I registered as a “New Applicant”, I can’t see my licenses. Why?

What security measures are in place to reassure licensees/applicants that the e-License site is secure enough to enter their confidential personal information?

  • Application features that protect customer data:
    • Connection to the salesforce.com service is via secure socket layer/transport layer security (SSL/TLS), ensuring that our customers have a secure connection to their data. Individual user sessions are uniquely identified and re-verified with each transaction.
    • Customers passwords are not accessible by salesforce.com personnel.
    • Application logs record the creator, last updater, timestamps, and originating IP address for every record and transaction completed.
  • Logical separation of customer data:
    • Hardware and software configurations are designed to provide secure logical separations of customer data that permit each customer to view only its related information.
    • Multitenant security controls include unique, non-predictable session tokens, configurable session timeout values, password policies, sharing rules, and user profiles.
    • The salesforce.com service supports delegated authentication.
  • Network security measures:
    • Multiple layers of external firewalls
    • Intrusion-detection sensors
    • Security event management system
    • Continuous external vulnerability scanning
  • Redundancy and Scalability
    • The salesforce.com service is highly scalable and redundant, allowing for fluctuation in demand and expansion of users while greatly reducing the threat of long-term outages. Load-balanced networks, pools of application servers, and clustered databases are features of our design.
  • Disaster Recovery
    • All customer data is stored in secure data centers and is replicated over secure links to a disaster recovery data center. This design provides the ability to rapidly restore the salesforce.com service in the case of a catastrophic loss.
  • Backups
    • In addition to our disaster-recovery capabilities, customer data is also backed up to tape in a separate data center. Tapes are not transported offsite from this data center, reducing the risk of loss.
  • Customer-Controlled Privacy and Security Settings
    • Customers may determine which of their respective designees can access different categories of data.
    • Customers may set customizable password rules.
    • Customers may define log-off times for inactivity.
    • By default, salesforce.com's Identity Confirmation feature automatically recognizes whether a user is logging in from an IP address or device that has been previously used. Unrecognized IP addresses or devices prompt identity re-verification.
    • Customer may enable salesforce.com's IP Range Restrictions feature that enables customers to restrict the range of IP addresses from which its designees may log in. The "Restricting Login Ranges for Your Organization" section of the Salesforce User Guide is available to customers in the Help & Training section of the salesforce.com service.
    • Customers may create custom fields that are encrypted in storage for sensitive information types. The "About Encrypted Custom Fields" section of the Salesforce User Guide is available to customers in the Help & Training section of the salesforce.com service.

I saved my application to work on at a future date. When I came back to continue working on the application, I was asked to validate each section that I had already completed. Why do I have to re-validate previously entered information?

The system was designed to make sure the application contains the most current information.  To make sure this happens, the applicant is asked to validate the previously entered information even if there have been no changes.

After I submitted my application I realized I forgot to add important information. Where in the system can I add additional information to a previously submitted application?

Once the application is submitted, you can no longer add or change information or attachments related to the application online.  Please contact your licensure board to provide the necessary information and/or attachments.

How do I change my address?

You can change your address by clicking 'Manage Profile' under your name on your dashboard. You may also change your address on your licence by clicking 'Manage This License' on your license tile.

When I am attempting to register on the portal, I receive an error message stating that my information already exists. Why is this?

You may have created an account under a different name and entered the same Social Security Number. If you have, contact your Board.

Why can’t I change my name on my profile?

Name changes on profiles require the submission of a service request, which can be found on your license tile after clicking 'Manage This License'.
